Volunteer Requirements

The volunteer deposit is a $200.00 check submitted to PLAY. Only one deposit per traveling softball family is required.  Your child will not be placed on a team if your deposit has not been turned in. The deposit check is not cashed, but remains in the Softball board’s custody until the end of the season.  At that time if your volunteer requirement has been fulfilled the check will be shredded, if not the check is cashed and the funds are absorbed into the traveling softballs general fund.
 
There is a required 10 volunteer hours per family each season. Out of those 10 hours, 4 mandatory hours will be required at the Prior Lake Softball Tournament. All parents will be required to contribute volunteer hours during the Prior Lake Softball Tournament. 
The remaining 6 hours can be filled at events like the traveling softball booth at PLAY Fest, open gyms, clinics, pancake breakfast, and Laker night at the varsity softball game. Volunteer hours are intended to serve the overall organization. Thus helping out with specific team activities, such, practices, racking or chalking fields, score keeping etc… while valuable and important to your daughters team, would not count towards you volunteer hours.   
With all these opportunities, 10 hours per family are easy to fill.  Volunteer opportunities will be posted on the PLAY website under the traveling softball Dibs tab, see instructions below.
Who is exempt?

The Head Coach, the 1st Assistant Coach, and the 2nd Assistant Coach and/or Team Parent are exempt. If there two assistant coaches on the team, one of them can act as the team parent.  The team parent is only exempt if there are only two coaches on the team, a head coach and one assistant coach. Traveling softball Board & Committee members are also exempt.

Instructions for using the Dibs tool

Dibs is an online tool that helps keep members organized by providing a platform to assign and claim responsibility. PLAY Softball is using Dibs as a volunteer management tool. Site members can browse assigned Dib Sessions (e.g. Softball – 2011 Volunteer Opportunities) and claim responsibility for Dib Items (the actual volunteer opportunities). Members then complete Dib Items to fulfill their Dib Session requirements. The Dib Session requirement for PLAY Traveling Softball is 10 volunteer hours per year, which will automatically be tracked inside of the tool.

How do I use Dibs to sign up for volunteer hours?

In order to view Dibs Sessions and Items that have been assigned to you and your family, Click on this link:  DIBS  and login with your PLAY account. After successfully logging in, any Dibs Session that has been assigned to your account will be visible. OR, click on the Dibs tab on the upper right menu on this page.

After logging into the DIBS page, you will see “Assigned Dib Sessions”. Click on a Dib Session, and you will be brought to a screen that contains all of the Dib Items where you can click on and browse through the individual Dibs Items. Once you find a Dibs Item that meets your needs, click “CLAIM THIS DIB ITEM”, and the item will be assigned to you.


How do I see all Dibs Items I've signed up for in one place?

Once you’ve logged into the DIBS site, click on the link to the right of your username – “My Dibs: View all of my currently claimed Dib items” which is found at this link:  DIBS SUMMARY



Claimed Items
 
  1. If you want to see a list of the Dib items you have claimed, click on "View all of my currently claimed Dib items". A summary of all the Dib items you have claimed will appear
  2. The system will also send an email reminder two days before the date of the Dib item to the email address that is assigned to your login

Verify Completion of Claimed Dib Item(s)
 
After you have fulfilled your Dib item, you will need to go into the system and verify completion.
 
  1. Login to the system
  2. Click on the View all of my currently claimed Dib items
  3. Click on the appropriate Dib item
  4. A screen will appear that summarizes the Dib item 
  5. Click on the Verify Completion tab on the right hand side of the screen
  6. A “Request Completion Verification” box will appear. If you have finished this Dib Item, click the Request Completion Verification button to notify the Admin that this Dib Item is completed You will receive credit for the item once the Admin has marked it as completed 

Requesting Cancellation of a claimed Dib item
 
  1. Login to the system
  2. Click on the View all of my currently claimed Dib items
  3. Click on the appropriate Dib item
  4. A screen will appear that summarizes the Dib item
  5. Click on the Request Cancellation tab on the right hand side of the screen
  6. A “Request Dib Item Cancellation” box will appear. Click the Request Cancellation button to request admin to cancel that item for you
  7. Please note that you are still responsible for this Dib Item until your request is granted by the Administration
  8. You will receive verification that you have successfully sent a cancellation request to Admin.
  9. Admin will cancel your request and the Dib item will revert back to available status

 


Volunteer Checks DUE

If you have not already paid the required $200 deposit check for volunteer hours you need to send it in as soon as possible.  Your daughter will not be able to practice until your check is received.
