Executive Board
The purpose of the PLAY Executive Board is to deal with “high-level” issues effecting PLAY. It is this boards responsibility to review the content being offered in each PLAY sport and to create a broad structure to all PLAY activities. Further responsibilities include:
* In-depth review of PLAY financials and budgeting process.
* Review future strategic planning opportunities.
* Review current building, board and participant insurance.
* Interview and approval of all “VP” positions within each sport.
It is not the responsibility of this board to run the day-to-day operations of any sport. That responsibility falls under the various “VP of Sports” and the VP of that sport.
President: The responsibility of the President of PLAY is to ensure the future growth and community value of PLAY. To be a change agent as the PLAY organization continues to grow and mature. To help facilitate meaningful meetings and productive group sessions, ensuring that everyone’s thoughts and ideas are fully developed / shared.
Direct reports: Administrative Director
Executive VP: The responsibility of the Executive Vice President of PLAY is to work closely with the various sports to determine the future needs of PLAY. (Field / Gym improvements and New fields / gym procurement). This position works closely with the community to ensure a strong working relationship with our community partners.

VP of Sports – Spring/Summer:This position is responsible for overseeing the spring / summer sports programs for PLAY. This includes Baseball, Softball, Lacrosse and Track. This position is responsible for the overall financial “health” of these programs. I.e. Adhering to and assisting with budgets, reviewing the P&L and approving all expenditures. This position ensures continuity between the spring and summer sports. Attends Quarterly Meetings and provides monthly reports to Executive Board.

VP of Technology: This position is responsible for all future planning for PLAY website and electronic upgrades, such as software, and other future upgrades, registration software and uses.
Direct Reports: Communications Coordinator
Communications Coordinator: Communications Coordinator: The primary responsibility of this position is to create, update and maintain the PLAY website.
VP of Special Events: Reports to the President and is responsible establishing Sponsorship relations and organizing and overseeing the annual Fundraising event. Work closely with the Executive VP to establish financial goals. They also will oversee the fundraising programs used within the organization.
Treasurer: This position is responsible for the day-to-day PLAY financials. They are responsible for balancing the books, processing income and expenses, working with our outside accountant and ensuring the books are closed and proper tax forms processed. This person is also responsible for bidding out the PLAY building, board and participant insurance. Works closely with the Administrative Director and Assistant Administrator.
VP of Registration: Reports to the Treasurer and is responsible for coordinating all PLAY registration events, which includes the management of the PLAY on-line registration process. Assist the Sport VP’s in developing Team and Field Management skills through the registration software for their Coordinators.
Secretary: person is responsible for communicating all PLAY activities to the public. They create all board meeting notes and agenda items and deliver in final form to the Communications coordinator for display on the web. They have a close working relationship with the various local newspapers and television stations.
Administrative Director : Non-Board Position – Primary objectives is to work with the Executive Board and VP’s of each Sport to administer as a resource for those sports to form consistency and continuity among the programs. Also, to assist in community development through contact and relationships. -reports to President and Exec. Board
Admin. Assistant - Non-Board Position - Primary contact for daily deposits and mail handling. Works also with registrations and general information. - reports to Tresurer and Admin. Director.

Vice President of Baseball: This is the principle operational position for Baseball. This individual will oversee all Directors and Coordinators on a regular basis during the season. This individual will have ultimate responsibility for:

* communicate with other programs outside of P.L.A.Y. to develop inter-league and tournament play

* set and host meetings for season-beginning, season end and all others deemed necessary by the situation

* handle misc. needs such as: team photos, awards and trophies, etc
Facilities Director – Spring / Summer Sports: This positions works closely with the Traveling and In-House Director to schedule practice and game times and locations.
Director – Traveling Baseball: Direct report to V.P. of Baseball; Responsible all traveling teams (accept coaching appointments) include:

* coordinate travel schedules with Junior High
* insure player evaluations and assignments are fair and equitable
* oversee uniform and equipment requirements, communicate with Equipment Coordinator
* insure that teams, coaches and players are working together and that resources, including coaching resources, are evenly distributed throughout the program
* work with Head Coaches to develop “best practices” in terms of skill development and fundamentals
* help with registration, equipment and set key meetings for program

CHEERLEADING ORGANIZATION
Vice President of Cheerleading: This person would oversee all of the Cheerleading directors and coordinators and the overall running of the Cheereleading program. The VP would be responsible for filling all vacant cheerleading positions and clarifying job descriptions for each of them. He /she would also be responsible for finalizing registration information, staffing the in-person registration and getting on-line registration information to the directors.
Director of Cheerleading: This person would report to the VP of Cheer.

Routine Coordinator: This person would report to the volleyball VP and would oversee all operations for the in-house program. Specifically he/she would be responsible for:
* providing training and an informational meeting for coaches
* Assist in Development of routines and their implementation at events
VOLLEYBALL ORGANIZATION
Vice President of Volleyball: This person would oversee all of the volleyball directors and coordinators and the overall running of the volleyball program. The VP would be responsible for filling all vacant volleyball positions and clarifying job descriptions for each of them. He /she would also be responsible for finalizing registration information, staffing the in-person registration and getting on-line registration information to the directors.

* forming teams and assigning coaches to each team
* ordering jerseys
* notifying equipment coordinator of equipment needs
* notifying scheduling coordinator of gym space needs
* planning for team photos
* planning and facilitating an end of season meeting
Director of In-House Volleyball: This person would report to the volleyball VP and would oversee all operations for the in-house program. Specifically he/she would be responsible for:
helping VP with registration organizing girls into teams and assigning coaches

* notifying equipment manager of equipment needs
* notifying scheduling coordinator of gym space needs

Concessions Coordinator: This person would report to the volleyball VP and would work closely with the director of in-house volleyball and the tournament coordinator. He/she would be responsible for:
* ordering/purchasing of concessions for in-house tournament
* setting up concessions area with signs, cashbox, coolers etc.
* scheduling and staffing the concessions area
Tournament Coordinator: This person would report to the volleyball VP and would work closely with the facilities director and the director of in-house volleyball. He/she would be responsible for:
* notifying scheduling coordinator of gym space needs for in-house tournament
* organizing overall structure of tournament and making up brackets
* getting referees for games
* ordering, purchasing and distributing trophies
Scheduling Coordinator: This person would report to the volleyball VP and would work closely with the facilities director and the directors of traveling and in-house volleyball. He/she would be responsible for:
* scheduling all traveling and in-house practices and game times
* scheduling gym space with the facilities director for the above mentioned games and practices
* communicating with directors and coaches all finalized scheduling
BASKETBALL ORGANIZATION
Vice President of Basketball: This is the principle operational position for Basketball. This individual will oversee all Directors and Coordinators on a regular basis during the season. This individual will have ultimate responsibility for:
